How to share materials and documents with your teams on Qomon

This article explains how to share materials with your teams directly on Qomon.

What are Materials in Qomon?

Materials in Qomon work like a shared drive for your cause, allowing your volunteers to access mobilization resources anytime, anywhere through the Qomon mobile app.

Admins and staff can use the "Materials" tab to add, consult, and download files, making Qomon a central hub for sharing essential resources. This ensures materials are easily accessible and not lost in crowded inboxes.

Every material is hosted directly on Qomon, so each one gets its own shareable link. This means you are not limited to sharing inside the app only. You can share the link to your material on your website or in an email campaign, for example.

Qomon also automatically generates a QR code for every material, making it easy to share in print or in person (e.g. on a flyer, at a canvassing event, etc.).

Some examples of what you can share as a Material:

  • Flyers or stickers for volunteers to print out

  • Memes and other social-ready visuals

  • YouTube videos

  • Guides, scripts, or briefing documents

  • Etc.

Note: Champs (mobile-only users) can only view and download documents — they cannot upload files.


🗂️ How does document sharing work?

Sharing a material or document from the web platform is easy and efficient:

  1. Access the Materials Tab

    • Go to the "Materials" tab under "Action" in the left menu bar.

  2. Add Materials

    • Click "+ Add Materials" to upload or link a file.

  3. Choose a File Option

    • Upload from your device or share a URL link

  4. Organize Your Material

    • Name the document, add a thumbnail, and add a Category. This will help volunteers stay organized.

  5. Assign to Teams

    • Use the "Assign to teams" field to choose which team(s) can access this material.

    • Search for a team by name and select as many as you need — you're not limited to one.

    • If no team is selected, the material is available to everyone in your space, so only fill this in when you want to restrict access.

  6. Feature This Material (optional)

    • Marking a material as "featured" displays it on the mobile app's homepage.

    • It will also appear by default at the top of the materials list, both on the web platform and in the mobile app.

  7. Set Sharing Preferences

    • Toggle "Authorize sharing from the mobile app" to let your users easily share a document via messaging apps, social networks, email, Bluetooth, and AirDrop.

    • Please note: for materials with sharing disabled, screenshots are also blocked to protect the confidentiality of the content.


👥 Checking which materials are assigned to a team

Once a material is restricted to one or more teams, you can see and manage that assignment from the team's own settings:

  1. Go to Users in the left menu, then open the Teams view.

  2. Select the team you want to check.

  3. In the team's advanced settings mode, look for the "Assigned materials" section. It will list every material currently assigned to that team, with a count next to the section title.

  4. Click "Modify" to jump back into the material's settings and change its team assignments.

This is a handy way to audit access team-by-team, rather than checking each material individually.

  • Use categories to keep things tidy. Categorizing materials helps volunteers quickly find what they need instead of scrolling through a long list.

  • Control access with linked files. When linking from Google Drive, OneDrive, iCloud, or Dropbox, permissions can be managed directly on those platforms, ensuring sensitive files are only accessible to intended recipients.

  • Restrict sensitive materials to specific teams. Use "Assign to teams" for documents that shouldn't be visible to your whole space — for example, region-specific guides or internal-only resources.

  • Share beyond the app. Since every material has its own link and QR code, you can promote materials on your website, in email campaigns, or on printed flyers — not just inside Qomon.

Your teams now have access to all the materials shared on the Qomon mobile app — whether that's everyone, or just the specific teams you've assigned. These resources can be easily utilized during their actions, keeping everyone informed and prepared!
