Here are some best practices to help maximize the adoption of this tool by your members. 🤝
Avoid using the words "tool", "software" or "app" which are words that may scare some future users.
Instead, we recommend telling them about the benefits Qomon could bring them. It'll help them see it as a helping hand and not as a monitoring device . It can help them:
Save time during their organizing (door-to-door, phonebanking, etc.)
Avoid losing information during meetings with people.
Centralize all their actions and optimize their efforts.
Have a digital notebook always at hand, for mobilizing at any time.
Talk about a:
Direct link between volunteers and the organization's HQ.
It can sometimes be difficult for HQ to transfer information to the volunteers. However, it is essential that all your volunteers download Qomon and create an account.
Explain the following:
➡️ Take the time to go through account creation with them ⬅️
Downloading and creating an account takes no more than 5 minutes!
Having Qomon on your phone does not commit them to anything! Their data is only viewable by you.
Qomon is a very important link between HQ and them.
It is easy to use, our only goal is to save them time!
Name some mentors to whom your members can turn to if they have any questions on how to use the tool. Avoid making big groups. If possible appoint several mentors.
1 mentor per 15 users is a good ratio 👌🏼
Some tips from Qomon:
Create a conversation on Telegram or WhatsApp with all your volunteers. This will allow you to keep in touch with them quickly, and remind them to download Qomon. 😉
Organize one or more meetings (depending on the size of your team) to see everyone. Allow time to only start the meeting once the app has been downloaded, launched on all phones and the invitation code entered ✅ .
Guide them through this.
Make a short video with your chairperson speaking directly to the volunteers asking them to download the app and finish the registration process. A message from your chairperson has a lot of impact! Tested and approved! 👌🏼
Do some practice runs:
Ask someone who has already used the app to conduct a test on the field. Take all the volunteers with you, they can ask you questions live! These volunteers will become your best users.
Help them add their first contacts, door-to-door situations with test actions. Write down some distinctive information in order to delete this data later, use "TEST" as the First and Last names 👌🏼
Show why using Qomon is interesting:
At the end of the day, get everyone's attention to show the Qomon web platform. You can show them how all the actions that were taken during your tests are directly accessible for HQ.
Show them how their efforts will help you 👌🏼
What to do if some members are unable to use the Qomon mobile app:
Try to assign them with people who are app users so they can see the benefits Qomon brings.
Choose someone to enter the information collected by these members during the day into Qomon (on the web or mobile platform), since they'll likely be using pen and paper.
Try to record information from these volunteers on a regular basis so that you don't end up with too much information to import to the platform all at once. This will also help keep the database updated for other users.
What to do if some members refuse to use Qomon:
Explain that having feedback from different channels is difficult to process.
Give them tasks that are unrelated to note taking/recording interactions with your contacts.
