Add and track official roles or elected officials for your contacts directly in Qomon.

What is it?

The Terms & Offices feature in Qomon allows you to attach a “term” to a contact. It’s designed for organizations that need to track elected officials or people in specific roles within their database (e.g., mayors, members of parliament, city councillors, etc.).


🧑‍💼 Example use case

You're a civic or advocacy organization and want to engage with all the mayors in a specific region. With the Terms & Offices feature, you can:

  • Build a database of all relevant mayors

  • See which committee they represent

  • Know how long they’re in office

  • Filter only those with an active professional email

  • Export or reach out to that list directly from Qomon


⚙️ How to use it in Qomon

  • Open the contact card of the person

  • Navigate to the “Offices” section

  • Fill in the details: title, institution, start/end dates, professional email or phone

  • Save—and you're done!

You can then use advanced filters to search for contacts by:

  • Start or end date of their term

  • The title or role they hold

  • The name of the institution or committee they’re part of

  • Professional contact info (email or phone)


🛠️ Setting up the feature

The Terms & Offices feature is an add-on and is not activated by default.

To get started:

  • Ensure the module is activated in your space (If not, reach out to your account manager or contact [email protected]).

  • Head to your Space Settings > Contacts / CRM > Offices

  • From there, you can add, edit, and delete your offices, institutions, and committees, which will be available on the contact card to assign.


💻 Importing your items

Instead of manually entering your data, you can import your offices, institutions, and committees using a CSV file.

How to prepare your file:

  • If you’re working in Google Sheets, Excel, or another spreadsheet tool, make sure to export the file to CSV format!

  • The CSV must use a semicolon (;) as the separator. Please check your export settings to ensure this.

For offices:

  • Add three columns with the following headers, in this exact order:
    masculine ; feminine ; neutral

  • Then, simply list the items you want to import in that column. Each row should include the different versions of the role based on grammatical gender.

For institutions/committees:

  • Only one column is needed, with a header like Institution or Committee.

  • Then, list your values one per line in that column.

Once uploaded, the entries will be available in the contact card for assignment.
