How to Create Contact Groups on Qomon

Read this article to find out how to group your contacts from a global database and give limited access to your users.

📋 What are contact groups?

You can think of contact groups as creating a “mini database”. Groups function the same way as dynamic lists. You start with a set of criteria in the advanced filters, and this will become a contact group that you then assign to your users.

Whether this includes specific cities, only contacts with email addresses registered, contacts with a certain support level, or a combination of all three, it is up to you to decide!

Contacts groups are only available with an organization subscription!


🤔 Why use contact groups?

Contact groups are useful for organisations that want to give limited access to the contact database while maintaining global management.

For instance, if your organization has neighborhood-specific teams, you can activate contact groups to grant those on the team access to the contacts in that neighborhood only.

☝️How to create contact groups?

Step 1: Head into your Space Settings > General > Database Access to access all of your created groups.

Step 2: In the top right corner, you will see “Create Group”, which brings up the option to filter your contact database with the advanced filters.

💫 You can choose to make these filters as broad or as specific as you desire! And remember, these contact groups are dynamic, so as you add contacts to your database that meet these criteria, they will automatically join the group!

🧑‍🍳 How to assign the contact groups?

Once you have your desired groups created, you can head over to the Users & Teams tab to assign your contact groups to your users.

Step 1: Head to your Users & Teams tab, there are two options when assigning groups: "Full Access” (which is the default), or access to one of your created groups (a user can only be assigned one list!).

Step 2: Select a user, click the edit pencil in the top right corner of the screen, and you will see the option for "Contact Database Access" with a dropdown menu of all of your created groups!

Step 3: Choose one of the contact groups you created to limit the access of this user, or choose to give them access to the entire database.
