How to set up Double Opt-in in Qomon?

Step-by-step guide to enabling Double Opt-in for your organization on Qomon.

Written by Hendrik Giesecke

What is Double Opt-in?

Double opt-in adds a confirmation step after someone gives you their consent. When a supporter submits a form, registers for an event or signs a petition, Qomon automatically sends them an email or SMS with a confirmation link. Their consent is confirmed once they click it.

This gives you stronger proof of consent, helps you comply with stronger data protection rules, and keeps your contact database clean: only people who really want to hear from you end up on your lists.

  • Where to find it: Settings → General → Privacy & Security

  • Who can set it up: users with access to your space's Settings (see Roles and Permissions in Qomon).

How it works

Setting up double opt-in takes three steps, then Qomon handles the rest automatically.

  1. You enable double opt-in in your Privacy & Security settings.

  2. You choose your preferred confirmation method: Email or SMS.

  3. You customize the confirmation messages in Action Flows (optional, default messages are ready to use).

From then on, every time someone submits a form, registers for an event or signs a petition:

  1. They give their initial consent on the form.

  2. Qomon automatically sends them a confirmation email or SMS with a unique confirmation link.

  3. They click the link and confirm their communication preferences.

  4. Their consent is confirmed in Qomon.

Step 1: Enable double opt-in

  1. Click your name at the bottom left of the menu, then click Settings.

  2. In the General tab, open Privacy & Security.

  3. In the Double opt-in section, switch the Enable double opt-in toggle to Enabled.

Once enabled, the confirmation method and message options appear just below the toggle.

Step 2: Choose your confirmation method

The confirmation method is the channel your supporters will preferably use to confirm their consent.

  1. Under Confirmation method preferences, select Email or SMS.

  2. Click Update to save your choice.

💡 FYI: Your supporters will receive a confirmation message whichever preferred channel you choose. If you choose SMS and a supporter didn't leave a phone number, Qomon automatically sends the confirmation by email instead, and vice versa.

Step 3: Customize your confirmation messages

A confirmation message is sent automatically as soon as double opt-in is enabled. You can customize it in your Action Flows (go to your Action Flows).

Qomon creates three Action Flows for you, one per source of consent:

Action Flow

Trigger

Applies to

Double opt-in forms

Form Submitted

All submitted forms

Double opt-in events

Event Registration

All registered events

Double opt-in petitions

Petition signed

All signed petitions

Each flow contains two actions: Send confirmation Email and Send confirmation SMS. Customize both so the right message goes out whichever method is used.

Edit the confirmation email

  1. Open the flow you want to edit (for example Double opt-in forms).

  2. Click the Send confirmation Email action.

  3. In the right-hand panel, find the Double opt-in confirmation email template and click Edit.

  4. Update the content and save.

Edit the confirmation SMS

  1. In the same flow, click the Send confirmation SMS action.

  2. Under Customize your Action, click Edit your SMS.

  3. Update the text and save.

💡 Reminder: To send confirmation SMS, SMS must be enabled in your space. To activate it, go to Messages → Communication and click Enable SMS/MMS. Learn more in Enable SMS on your Qomon space.

What your supporters receive

As soon as someone submits a form, registers for an event or signs a petition, they receive your confirmation email or SMS automatically. The message reminds them what they submitted and lists the communication preferences they agreed to (email, mobile, SMS, postal).

They click I confirm in the email, or the link in the SMS, and their consent is confirmed in Qomon.

💡 Reminder: You can fully customize the confirmation message. You can customize it directly in your Action Flow.

Useful variables in the default templates you can use:

  • {{contact.firstname}}: the supporter's first name

  • {{double_optin.source_summary}}: the form, event or petition they submitted

  • {{double_optin.organization_name}}: your organization's name

  • {{double_optin.consents_summary}}: the consents they're asked to confirm

  • {{double_optin.confirmation_url}}: the confirmation link (SMS)

Check a contact's consent status

In a contact's profile, the Consents section shows whether their consent was confirmed by double opt-in. Hover over the check mark to see the details.

Icon

Status

What it means

Green check

Recorded

The contact gave their consent on the form, but hasn't confirmed it yet. Tooltip: "Accepted on [date]".

Blue check

Confirmed

The contact clicked the confirmation link. Tooltip: "Accepted on [date]" and "Confirmed by double opt-in on [date]".

You can then filter your database by double opt-in status, to build a list of contacts who have confirmed their consent.

💡Best practices

  • Test before you go live. Submit one of your own forms and check that the confirmation arrives and the link works.

  • Customize all three Action Flows. Forms, events and petitions each have their own flow, so a change in one doesn't apply to the others.

  • Keep it short and recognizable. Mention your organization's name and what the person just signed up for, so they trust the message.

  • Check your sender details. Make sure the email sender and SMS sender name match your organization.

❓FAQ

  • Do I need to create the Action Flows myself? No. The three double opt-in flows are already set up and active. You only need to customize the messages if you want to.

  • Can I switch between Email and SMS later? Yes. Go back to Settings → Privacy & Security, select the other method and click "Update".

  • Do confirmation messages use my credits? Yes. Confirmation SMS use your space's SMS credits, and confirmation emails use your space's Email credits.

  • What if SMS is my preferred method but a supporter didn't give a phone number? Qomon automatically falls back to email and sends them the confirmation email instead.

  • Does double opt-in apply to contacts I collected before enabling it? No. Double opt-in only applies to forms, events and petitions submitted after you enable it. To confirm the consent of your existing contacts and supporters, you can launch a re-opt-in campaign.

  • Which actions trigger a confirmation message? Submitting a form, registering for an event and signing a petition.

  • What happens if a supporter doesn't click the link? Their consent is still recorded in Qomon, it just isn't confirmed. You'll see a green check (recorded) instead of a blue one (confirmed) in their profile, and you can filter contacts by double opt-in status.

  • Does the confirmation link expire? No. Supporters can confirm their consent at any time using the link they received.

  • How do I turn double opt-in off? Switch the "Enable double opt-in" toggle back to "Disabled" in Settings → Privacy & Security.
